Refund & Cancellation Policy
How to cancel, when a refund is and is not given, and what happens to your records if a subscription ends.

This policy forms part of our Terms of Service and uses the same wording as section 4 of that document.
1. Cancelling
Nothing renews automatically, so there is nothing to cancel. Each payment buys a fixed period — one month or one year — and when it ends, access ends unless you choose to renew. No reminder can turn into a charge, and no charge is ever taken without you starting it. You keep full access until the period you paid for ends.
2. The free trial
Every new hospital account starts with a 24-hour free trial of the whole platform, automatically, counted from the moment the account is created. No card or bank details are asked for, no payment mandate is set up, and nothing is charged — the trial simply ends, and with it access to everything outside the free account, reminders and email alerts included. To keep using the platform after it, choose a plan.
3. Refunds
Payments are not refundable once taken. The trial exists so that the decision is made before any money changes hands: the trial opens every page and every workspace feature so you can enter real data and judge whether the platform suits your hospital, and we would rather you let the trial end than pay and regret it.
This means a subscription cannot be refunded because your hospital later changed priorities, reorganised, decided not to pursue accreditation this cycle, or wanted features we do not offer. Those are reasons not to renew, not grounds for a refund of a period already paid for.
Where the fault is ours
That is different. If a defect in the platform prevents you from using what you paid for, tell us. We will investigate, and where the problem is genuinely on our side and cannot be resolved in reasonable time, we will discuss a refund or an extension of your term.
We say this because a blanket refusal that ignores our own failures would not be fair, and would not stand.
How to ask
Email support.aqcredix@gmail.com with the account email and what went wrong. We aim to reply within 3 working days. Where a refund is agreed, it is returned to the original payment method, normally within 5 to 7 working days of approval, and the timing after that is with your bank rather than with us.
4. If a subscription lapses
Your data is not deleted when a subscription ends. It is kept for at least 90 days after expiry, and we will tell you before anything is removed. Renew within that period and everything is where you left it.
While a subscription is active you can export everything yourself from the workspace. After it has lapsed, write to support.aqcredix@gmail.com and we will send a complete export of your hospital's records, without charge.
5. Payment methods
Payment is by UPI and Razorpay. Where payment is made by UPI with a reference number, access is granted after we verify the payment manually, which may take up to 2 working days. If a payment is taken but access is not granted, that is a fault on our side and is refundable under section 3.
